Management and Professional Staff Council

Director of Libraries, December, 1985 (as the Administrative & Professional Staff Council). Name officially changed September 29, 2000.

Terms of Reference:

To provide a forum for the Libraries and Cultural Resources (LCR) Management and Professional Staff (MaPS) to discuss work-related issues of concern as well as the opportunity for open and continuous dialogue with senior administration.

Management & Professional Staff Council will meet approximately 5 times per year (September, November, January, March, and May). Issues can be raised at any time and do not have to be held over until the next scheduled meeting.

Membership
LCR MaPS Council membership includes:

a. Any person holding a Management and Professional staff appointment in Libraries and Cultural Resources. 
b. The Vice Provost (Libraries and Cultural Resources) (Ex-Officio) (non-voting) or designate. 
c. One representative or designated alternate from the Libraries and Cultural Resources Academic Council (non-voting). 
d. One representative or designated alternate from the Libraries and Cultural Resources Support Staff Council (non-voting).

Other persons may be invited to attend meetings when appropriate. Only members in “category a”, may vote or serve on MaPS Council committees.

Term:
Elected annually in the June meeting.

Positions:

Chair

  • Determine dates for meetings ( usually held every second month excluding June to August)
  • Determine availability of the Director to ensure he or his representative can attend
  • Chair meetings
  • Ensure elections for the Executive and Representatives are held every May

Secretary

  • Keep members mailing list updates 
  • Book rooms for meetings
  • Prepare the agenda and distribute to members prior to meetings
  • Keep minutes of proceedings of all meetings and distribute to members
  • Chair meetings if the elected Chair is not available

Continuing Education Representative

  • Objective is to develop informative and educational, yet informal and entertaining presentations for the benefit of all LCR staff members
  • Attend all Continuing Education committee meetings (held as often as considered necessary subject to agreement among all the committee members)
  • Recommend topics and speakers for monthly ‘Lunch Learns’
  • Share responsibility with our committee members to arrange ‘Lunch and Learn’ presentations, which includes initiating and maintaining contact with speakers, scheduling presentations, preparing and distributing announcements to LCR staff, assisting with setting up rooms for presentations
  • Inform MaPS Council members of highlights and new business of Continuing Education committee meetings, including upcoming presentations, anticipated topics and speakers for future presentations, possible topics and speakers under consideration
  • Share responsibility for receiving feedback from members of LCR staff, including suggestions for topics and speakers, for the improvement of future ‘Lunch and Learns’. Share feedback with committee members for discussion. Communicate with staff member(s) if necessary

Tri-Council Representative

  • Objective is to develop informative and educational presentations that are of interest to all three Councils
  • Attend all Tri-Council meetings (they are held on an adhoc basis)
  • Recommend topics and speakers of interest to all three Councils
  • When a topic is suggested, help organize speakers and venue
  • Inform MaPS Council members of upcoming presentations, anticipated topics and speakers for future presentations

Support Staff Representative

  • Attend all Support Staff Council Meetings (usually held every second month excluding June – August) or find an alternate
  • Inform MaPS Council of anything that should be brought to their attention before the minutes are posted
  • Distribute minutes to LCR MaPS Council members
  • Attend MaPS Council meetings to inform, explain or clarify any issues that should be brought to their attention

Library Council Representative (LCRAC)

  • Attend all Library Council meetings ( held monthly excluding July and August) or find alternate
  • Inform MaPS Council of any relevant issues raised at the meeting that require discussion by MaPS Council prior to the next meeting
  • Distribute minutes to LCR MaPS Council members
  • Attend MaPS Council meetings to inform, explain or clarify any issues that should be brought to their attention

MaPS Steering committee Representative

  • Due to changes to the MaPs Executive Council, this position was suspended in the fall of 2012
